Administrative Assistant

Yorktown Child and Family Centre is a community based nonprofit social services agency dedicated to providing effective, accessible, quality mental health treatment, prevention and out-reach services to children, youth and their families to help create healthy communities and productive families.

We are currently seeking for a volunteer to provide administrative support to Yorktown staff members:

Responsibilities:

  • Provide administrative support to management and staff
  • Reception support including answering phones, welcoming clients and visitors and ensure they receive appropriate service
  • Client and statistical data entry into CYSIS database and generating reports
  • Type correspondence and reports as required
  • Responsible for outgoing mail and courier shipments
  • Send, receive, sort and distribute incoming faxes
  • Responsible for mass mail-outs
  • Maintenance of office machines i.e. postage meter, fax machine, photocopying machines and printers including coordination of repairs
  • Distribution of internal correspondence
  • Monitor office inventory, ordering and receiving stationery orders
  • Maintaining meeting room schedules
  • Documentation and distribution of clients bus tickets, taxi chits and gift certificates
  • Maintenance of office premises including contacting janitorial and emergency maintenance contractors
  • Photocopying and filing
  • Provide administrative support to Development Director
  • Assist in the planning and coordination of fundraising events and activities, donor recognition and Annual General Meeting
  • Input/update data, issue receipts, thank you letters and in kind donation and track all donor information on an electronic database (Income Manager)
  • Generate correspondence, including acknowledgement / thank you letters and in kind donation acknowledgements
  • Prepare data for mail merges from Income Manager utilizing Excel
  • Ensure fundraising recordkeeping reports are timely, accurate and easily accessible

Qualifications:

  • Post-secondary diploma or equivalent with a good working knowledge of standard office practices and procedures
  • Basic knowledge of Microsoft Office Suite
  • Some Data Entry skills would be an asset
  • Team Player
  • Able to multi task in a fast paced environment
  • Current Vulnerable Sector Screening (6 months or less would be an asset)

Reports to:

Manager of HR and Administrative Services

Time Commitment and Training:

8 to 12 hours per week. Training will be provided to successful candidate.
